@gmail.com vs @yourcompany.com: which email do clients trust more?
You send a quotation to a big client. Your price is right and your work is good. But the email comes from abctrading.my@gmail.com, and your competitor’s comes from sales@theircompany.com.my. Before anyone reads the numbers, one of you already looks more established.
For quotations, invoices and tenders, a company email on your own domain (name@yourcompany.com) looks more established, matches your website and is harder to impersonate than @gmail.com. It costs a domain plus an email service: Google Workspace Business Starter is RM29.20 per user per month on an annual plan (RM14.60 introductory), and many hosting plans include basic email. Gmail is fine while you’re testing an idea; switch when you start selling to companies.
Why your email address matters
Your email address is often the first thing a new client sees, before your website, your office or your work. It sits on every quotation, invoice and follow-up. Here’s what an @gmail.com address quietly says to a corporate or government buyer:
- “Is this a real company?” Anyone can create abctrading.my@gmail.com in two minutes. A company email tied to your own domain and website is much harder to fake.
- “Will they still be around next year?” A personal-looking address makes even an established business look like a side project.
- “Is this a scam?” Staff are trained to be wary of payment requests and invoices from free email addresses. Your genuine invoice might get a second look, or a delay.
None of this is fair to a good business. But procurement teams compare several suppliers at once, and small signals add up. It’s the same reason we recommend checking what clients find when they Google your company.
Gmail vs company email at a glance
| @gmail.com | @yourcompany.com | |
|---|---|---|
| First impression | Personal, small | Established company |
| Matches your website | No | Yes |
| Easy to impersonate | Yes | Harder |
| Staff addresses (sales@, ali@) | Separate accounts | Under one domain you control |
| When a staff member leaves | The account (and clients) may leave too | You keep the mailbox |
| Cost | Free | Domain + email service |
What it really costs
You need two things:
- A domain, such as yourcompany.com or yourcompany.com.my. It usually costs tens to a little over a hundred ringgit a year, depending on the extension and the registrar. If you have a website, you probably own one already.
- An email service. According to Google Workspace’s Malaysia pricing page, Google Workspace Business Starter costs RM29.20 per user per month on an annual plan, with an introductory price of RM14.60 for the first 20 users for 12 months (as of October 2026). Many web hosting plans also include basic email accounts at no extra cost, which is enough for many small businesses.
For a team of three, that’s roughly the price of one business lunch a month to look like a proper company in every email you send.
How to switch without losing a single email
- Pick your domain (ideally the same as your website).
- Choose an email service and create the addresses you need, for example hello@, sales@ and one per person.
- Set up the domain’s email records (MX, SPF, DKIM and DMARC). These prove your emails are really from you, and stop them landing in spam. Gmail now expects them from businesses, as Google’s email sender guidelines explain.
- Forward your old Gmail to the new address, so nothing gets missed.
- Update everywhere: website, Google Business Profile, invoices, quotation templates, business cards and email signatures.
- Tell your regular clients with a short, friendly message.
When Gmail is still fine
If you’re a one-person business just testing an idea, Gmail is a perfectly good start. Switch when you start sending quotations to companies, bidding for tenders, or hiring your first staff member.

Frequently asked questions
Is it unprofessional to use Gmail for business?
For a freelancer just starting out, it’s fine. For a company sending quotations, invoices or tender documents, an @gmail.com address makes you look smaller and is easier to impersonate. A company email that matches your website looks more established and is easier to verify.
How much does a company email cost in Malaysia?
You need a domain, which usually costs tens to a little over a hundred ringgit a year depending on the extension and registrar, plus an email service. Google Workspace Business Starter is listed at RM29.20 per user per month on an annual plan, with an introductory RM14.60 for the first 20 users for 12 months (as of October 2026). Many web hosting plans also include basic email accounts.
Can I still use the Gmail app with a company email?
Yes. With Google Workspace you use Gmail as normal, just with your own address. Many other email services also work with the Gmail, Outlook and phone mail apps.
Will I lose my old Gmail messages if I switch?
No. Keep the old Gmail account, set it to forward new messages to your company email, and send a short note to regular clients with your new address. Google Workspace can also import your old mail.
